The IQ Business Group, Australia (IQBG) has launched its new Trustee Office Solution, a highly cost-effective offering to help Superannuation Trustee Boards operate more efficiently. The solution enhances the communications between Board Members and streamlines administrative records to contribute to improved governance standards. Able to be installed within a two-week timeframe, it is based on the collaborative Microsoft SharePoint technology framework and can be hosted as a cloud application. It has been officially endorsed by the Australian Institute of Superannuation Trustees (AIST).

According to Fiona Reynolds, CEO of AIST, the launch of the Trustee Office Solution is highly appropriate for the current environment. “We are pleased to be able to provide our endorsement for such an initiative as the solution directly addresses the benefits of technology for our members and their clients. This not only has the capacity to raise the benchmark of Board administration in Australia, it reinforces that we have industry participants that are proactively reforming superannuation industry operations,” Reynolds concluded.

The Trustee Office solution automates the governance requirements for Superannuation Trustee Boards. It assists with the preparation of Board documentation, the recording of Board meeting items and tasks and tracks the items allocated to Board individuals.

The web-based offering achieves this by operating with workflow processes to automatically collate the paperwork required for Board Pack creation based on the meeting agenda. It is then able to minute the Board meeting based on a corporate document template, distributing the outcome to Board Members via email. The next steps proactively assign tasks to Board Members and track the outcome of each task, helping to manage or re-allocate Board priorities.

Each Board Member has a Personalised Dashboard which tracks tasks, provides calendaring updates and secure access to Board and Sub-Committee documentation. This is provided within the existing Microsoft technology environment, incorporating existing documents, calendars and templates into the communications flow.
